Terms of Service

1. Agreement and scope

These Terms govern your access to and use of SiteRecs, including the marketing site and the SiteRecs web application.

By accessing or using SiteRecs, you agree to these Terms. If you are using SiteRecs for a business, you confirm you are authorized to accept these Terms on that business's behalf.

2. Service description

SiteRecs is a SaaS platform for job records, RAMS workflows, checks/forms, signatures, file uploads, document outputs, and related operational records.

Some features are plan-dependent and may include optional AI-assisted drafting.

3. Accounts and security

• You must provide accurate account information and keep it updated.
• You are responsible for account credentials and all activity under your account.
• You must promptly notify us of unauthorized access or security incidents affecting your account.
• You are responsible for assigning appropriate permissions for users in your organisation.

4. Customer responsibilities

• You are responsible for the accuracy, completeness, and suitability of all submitted content.
• You must review and approve RAMS, templates, and generated outputs for each specific job and site context.
• You are responsible for compliance with applicable health and safety, employment, and data protection laws in your operations.

5. Acceptable use

You agree not to:

• Use SiteRecs for unlawful, harmful, or fraudulent activity.
• Attempt to gain unauthorized access to systems, data, or other customer accounts.
• Interfere with service integrity, security controls, or platform availability.
• Upload content you do not have rights to use or share.

6. Data and intellectual property

• You retain ownership of your customer data and uploaded content.
• You grant SiteRecs a limited license to host, process, transmit, and display your data solely to provide and improve the service.
• SiteRecs and its underlying software, branding, and documentation remain our property (or our licensors' property).

7. AI-assisted outputs

AI features are optional assistance tools. Outputs may be incomplete or inaccurate and are provided as draft material only.

You remain solely responsible for review, edits, and final approval before use in live operations.

8. Billing, plans, and trials

• Paid plans are billed as described on the pricing page and checkout flow.
• Subscriptions renew automatically unless cancelled.
• Payment processing is provided by Stripe. We do not store full payment card details.
• Trial access and promotional offers may be changed or withdrawn at any time.
• You are responsible for applicable taxes, duties, and charges related to your subscription.

9. Suspension and termination

We may suspend or terminate access where necessary to protect security, comply with law, or enforce these Terms (including non-payment or misuse).

You may stop using the service at any time. Termination does not remove payment obligations already incurred.

10. Availability and changes

We work to keep SiteRecs available and reliable, but uptime is not guaranteed. We may update, modify, or discontinue features from time to time.

11. Disclaimer

Except as required by law, SiteRecs is provided on an "as is" and "as available" basis.

SiteRecs does not provide legal, regulatory, or professional safety advice. Templates and helper outputs are starting points and must be reviewed by competent persons.

12. Limitation of liability

To the maximum extent permitted by law, SiteRecs is not liable for indirect, incidental, special, consequential, or punitive losses, or for loss of profit, revenue, goodwill, or data.

Nothing in these Terms excludes or limits liability that cannot be excluded under applicable law.

13. Privacy

Our processing of personal data is described in our Privacy Policy.

14. Changes to these Terms

We may update these Terms from time to time. Continued use of SiteRecs after changes take effect means you accept the revised Terms.
